Dragon Call Festival – Terms & Conditions

1. About the Event

Dragon Call Festival is an immersive outdoor fantasy festival featuring live quests, tabletop role-playing games, workshops, performances, themed activities, camping, and other interactive and non-interactive experiences.

By purchasing a ticket, entering the site, camping onsite, or participating in festival activities, you agree to comply with these Terms & Conditions, along with any directions provided by festival staff, volunteers, security personnel, contractors, or emergency services.

2. Entry & Tickets

  • All attendees must hold a valid ticket and authorised wristband while on-site.

  • Tickets may only be purchased through official ticketing channels authorised by Dragon Call Festival.

  • The organisers reserve the right to refuse entry or remove any person whose behaviour is unsafe, aggressive, intoxicated, unlawful, disruptive, or negatively impacts the experience of others.

  • Removal from the festival for breaches of these conditions may occur without refund.

  • Tickets are non-transferable unless transferred through an approved ticketing process.

  • Lost or damaged wristbands may not be replaced unless approved by festival staff.

3. Outdoor Event Conditions

Dragon Call Festival is held in an outdoor environment and may involve:

  • uneven ground

  • low lighting at night

  • mud, dust, heat, cold, rain, or changing weather conditions

  • natural obstacles and terrain

  • loud music or sound effects

  • physical activities or movement between locations

Attendees are responsible for:

  • dressing appropriately for weather conditions

  • wearing suitable footwear

  • carrying personal medications or required medical supplies

  • maintaining adequate hydration and personal well-being throughout the event

The festival will proceed in most weather conditions unless organisers determine conditions are unsafe.

4. Camping & Vehicles

  • Camping is only permitted in designated camping areas and with the appropriate camping ticket.

  • For safety reasons, vehicles must not be driven through camping areas at night except with approval or direction from festival staff or security.

  • Attendees expecting to arrive or depart overnight may be directed to use designated parking areas outside the campground.

  • Vehicles on-site must travel slowly and responsibly at all times.

  • Quiet and respectful behaviour is expected in camping areas during overnight hours.

  • Small contained campfires may be permitted within designated camping areas, subject to venue rules, weather conditions, local fire restrictions, and any festival fire policies in place at the time of the event. Attendees must comply with all directions relating to fire safety and fuel use.

  • Fireworks, explosive devices, and generators are prohibited on-site

  • For the purposes of this policy, generators include portable fuel-powered generators and vehicles left idling to charge batteries, power systems, or to power camping equipment.

  • The campground is a wildlife haven, and domestic animals are not permitted on-site unless they are accredited assistance animals and an application to the event organisers has been approved.

5. Props, Costumes & Replica Weapons

Dragon Call Festival encourages costumes, roleplay, and fantasy props as part of the event’s immersive atmosphere.

To help maintain a safe environment:

  • All props and costume weapons brought onsite must be safe, controlled, and used responsibly.

  • Festival staff or security may inspect any prop or item at any time.

  • The organisers reserve the right to prohibit or confiscate any item considered unsafe, inappropriate, intimidating, or likely to cause harm or disruption.

The following items are generally NOT permitted:

  • sharpened weapons

  • functional firearms or realistic imitation firearms without prior organiser approval

  • prohibited weapons under Queensland law

  • explosive or pyrotechnic devices

  • items intended to cause injury

  • dangerous metal weapons carried outside approved demonstrations or authorised activities

Foam, latex, timber, plastic, resin, and costume props designed for roleplay or cosplay are generally acceptable, provided they are used safely and respectfully.

Mock combat, sparring, or physical roleplay interactions must only occur:

  • within approved activities,

  • under supervision where required,

  • and with the consent of all participants.

Aggressive behaviour, threatening conduct, or unsafe use of props may result in removal from the event.

6. Behaviour & Community Expectations

Dragon Call Festival is intended to be a welcoming, inclusive, and community-focused event.

Attendees must not:

  • harass, threaten, intimidate, or abuse others

  • engage in discriminatory behaviour

  • damage the festival infrastructure or the venue

  • interfere with the safety or enjoyment of others

  • enter restricted or staff-only areas

  • behave in a dangerous or reckless manner

Festival staff and security reserve the right to intervene where necessary to maintain safety and community wellbeing.

7. Fantasy Themes & Immersive Content

Dragon Call Festival is an immersive fantasy event featuring quests, roleplay, costumes, themed environments, simulated conflict, fantasy creatures, dramatic storytelling, and occasional dark or spooky themes.

Attendees may encounter costuming, performances, roleplay interactions, creatures, props, sound effects, or narrative elements that some participants may find intense, emotional, or unsettling.

8. Roleplay, Consent & Immersive Interaction

Participation in quests, immersive activities, workshops, roleplay interactions, and physical activities is voluntary and undertaken at the attendee’s discretion.

Dragon Call Festival encourages immersive roleplay, character interaction, storytelling, and collaborative fantasy experiences. Attendees are encouraged to engage respectfully and help create a welcoming and enjoyable environment for others.

All roleplay interactions must remain consensual and respectful at all times. Attendees must not:

  • engage in unwanted physical contact,

  • intimidate, harass, or pressure others in or out of character,

  • continue roleplay interactions after another participant has disengaged or asked to stop,

  • Use “in character” roleplay as justification for behaviour that makes others feel unsafe or uncomfortable.

Participants are encouraged to be mindful of personal boundaries, differing comfort levels, and that attendees may engage with the festival in different ways and at varying levels of immersion.

Any attendee may disengage from a roleplay interaction or activity at any time for any reason.

Festival organisers reserve the right to intervene in, restrict, or stop any interaction or activity considered unsafe, inappropriate, non-consensual, or disruptive to the well-being of participants or the broader festival environment.

9. Alcohol, Smoking & Prohibited Items

Dragon Call Festival may include licensed areas or licensed bars.

  • BYO alcohol restrictions apply within licensed areas.

  • Intoxicated or disorderly persons may be refused entry or removed from the festival.

  • Illegal substances and prohibited items are not permitted on-site.

  • Smoking or vaping may occur only in designated areas, as permitted by venue rules and Queensland legislation.

  • Within the campground, smoking, vaping, and open flames must be managed responsibly and in accordance with festival directions, fire restrictions, and consideration for nearby campers.

  • Glass containers and bottles should not be brought into the festival precinct.

10. Minors & Guardians

Dragon Call Festival is designed primarily as a 13+ experience, particularly regarding quests, gameplay, and immersive activities.

Youth attendees aged 13–17 may participate independently in festival activities and move throughout the festival precinct without direct supervision, provided their parent or guardian considers this appropriate

Parents and guardians remain fully responsible for the behaviour, well-being, supervision, and safety of any minors in their care, including in camping areas and throughout festival activities.

Children aged 12 and under must remain under the supervision of a responsible adult at all times and must not be left unattended on-site.

Minors must arrive on-site with their parent or nominated guardian in order to be admitted to the event.  Guardian-to-minor ratios:

  • Youth attendees aged 13–17 must be accompanied onsite by an adult guardian aged 25 years or older.

  • Children aged 12 and under must be accompanied onsite by an adult aged 18 years or older.

  • A maximum ratio of one adult guardian to three minors applies unless otherwise approved by organisers.

Parents and guardians are responsible for ensuring minors:

  • comply with festival rules and directions,

  • participate only in age-appropriate activities,

  • behave safely and respectfully toward other attendees.

11. Accessibility & Assistance Animals

Dragon Call Festival aims to be welcoming and inclusive; however, attendees acknowledge that the event takes place in a natural outdoor environment with uneven terrain and changing conditions. Patrons with accessibility requirements or assistance animals are encouraged to contact organisers prior to the event where possible.

Registered assistance animals are permitted in accordance with Queensland law and festival policies.

Quiet or sensory spaces are intended as lower-stimulation areas but may still be subject to background festival noise and activity due to the outdoor event environment.

12. Programming & Schedule Changes

Dragon Call Festival is a live event environment, and schedules may change. The organisers reserve the right to:

  • alter programming

  • change workshop times or locations

  • substitute presenters or performers

  • modify activities

  • cancel elements of the program where necessary for safety, operational, weather, or unforeseen reasons

Reasonable program changes do not entitle attendees to refunds.

13. Photography & Media

Dragon Call Festival may photograph, film, or record the event for:

  • promotional purposes

  • social media

  • future marketing

  • documentary or community purposes

By attending the festival, attendees acknowledge they may appear incidentally in event photography or recordings.

If an attendee does not wish to be photographed in close-up or identifiable promotional imagery, they may advise the photographer or festival staff where practical.

Commercial photography, filming, or media activity requires prior approval from organisers.

Personal drones not permitted.

Attendees wearing costumes or participating in immersive activities acknowledge they may attract photography or interaction from other attendees in public festival areas.

14. Refunds, Transfers & Event Changes

Tickets may be transferred to another person through the official ticketing system where transfer functionality is available.

2026 Ticket cancellations made 30 days or more prior to the festival may be eligible for a partial refund of up to 75% of the ticket value, excluding booking fees and transaction charges where applicable.

Cancellations made within 30 days of the event are non-refundable; ticket transfers are permitted.

Dragon Call Festival reserves the right to modify programming, schedules, activities, venues, camping arrangements, or event operations where reasonably necessary due to operational, safety, weather, staffing, venue, or other unforeseen circumstances.

If the festival is cancelled, postponed, or significantly affected due to circumstances beyond the reasonable control of the organisers - including but not limited to severe weather, natural disasters, fire, public health events, government restrictions, venue issues, industrial disputes, or other force majeure events - refunds, credits, transfers, or alternative arrangements may be offered at the discretion of the organisers and subject to applicable law.

Nothing in these Terms & Conditions excludes rights or guarantees that cannot legally be excluded under Australian Consumer Law.

15. Personal Responsibility & Liability

Attendees enter and participate in the Dragon Call Festival at their own risk.

To the maximum extent permitted by law, Dragon Call Festival, its organisers, volunteers, contractors, venue partners, sponsors, and associated personnel accept no responsibility for:

  • personal injury

  • illness

  • loss or damage to personal property

  • theft

  • delays

  • cancellations

  • disruptions caused by weather, emergencies, or circumstances beyond reasonable control

Nothing in these Terms & Conditions excludes rights or guarantees that cannot legally be excluded under Australian Consumer Law.

16. Compliance with Directions

All attendees must comply with reasonable directions provided by:

  • festival staff

  • volunteers

  • safety personnel

  • security staff

  • venue representatives

  • emergency services

Failure to comply may result in removal from the event without refund.

17. Changes to These Terms

Dragon Call Festival may update these Terms & Conditions where reasonably necessary for operational, legal, safety, or venue-related reasons.

The most current version published on the festival website will apply.
